Who we are
FrontRoom Strategy LLC is a digital strategy firm formed in Texas. This policy covers this website and the client portal on it.
What we collect
When you ask for a free audit, we collect what you type into the form: your website address, your work email, your industry, what you've tried before, and whether you can share analytics or Search Console access.
If you're a client with a portal account, we store your name, email and a securely hashed password, along with the reports we prepare for you. If you turn on two-factor sign-in, we also store the encrypted key for your authenticator app and your backup codes.
Every sign-in attempt to the portal or our staff area is logged with the account, the time, your IP address and your browser, so we can spot and block attempts to break in.
Like most websites, our hosting provider keeps short-lived server logs, such as IP addresses and the pages requested, to keep the site running and secure.
How we use it
We use audit requests to prepare your audit and reply to you. We use portal details to let you sign in and see your reports.
We don't sell your information, and we don't use it for advertising.
Who else handles it
Audit requests are delivered to us through Formspree, a form service. The site is hosted on Cloudflare and the portal database runs on Neon. Google Analytics counts visits for us. Each of them processes data only so the service works.
Sign-in forms may show a Cloudflare Turnstile check after repeated failed attempts, which Cloudflare runs to tell people from bots. When you set a password, we check it against Have I Been Pwned's list of leaked passwords. Only the first five characters of a scrambled version of it leave our server, never the password itself.
If you give us access to your analytics or Search Console during a project, we use it only for that project and stop when the project ends.
Cookies
We use Google Analytics to see how many people visit, which pages they read, and whether they ask for an audit. It sets its own cookies to tell visits apart, and Google keeps that data for up to 14 months. We don't use it for advertising, and you can opt out with Google's browser add-on at tools.google.com/dlpage/gaoptout. The client portal sets one cookie to keep you signed in, and it's removed when you sign out or it expires. If the Cloudflare Turnstile check appears, Cloudflare may set its own cookie for that check.
How long we keep it
We keep audit requests for as long as they're useful for the conversation, and no longer than two years. Client records are kept for the length of the engagement plus whatever period tax and business records require.
Your choices
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email us and we'll reply within 30 days.
Changes
If we change how we handle your information, we'll update this page and the date at the top.
